Position Overview
We are looking for a Proposal Content Management Specialist (Co-op) to support our pursuits and proposals team in maintaining the quality, accuracy, and accessibility of proposal content within our response management system. This role plays an important part in ensuring proposal materials are well organized, up to date, and readily available to support sales opportunities, particularly for large and complex proposals.
The successful candidate will contribute to managing a centralized repository of proposal content, collaborate with team members across the organization, and support the effective use of tools and processes that drive efficiency in proposal development, including the use of AI-enabled solutions.
Responsibilities
- Act as a content librarian within the response management software, reviewing submitted materials for adherence to style guidelines and content management best practices
- Maintain and update RFP supporting document templates to ensure accuracy and consistency
- Serve as the primary support liaison between the proposal management software provider and internal teams for support and configuration needs
- Train new team members on proposal management tools, including onboarding and maintaining user access and permissions
- Communicate updates, process changes, and important information to contributors through established workflows
- Support content review cycles by coordinating with subject matter experts and ensuring adherence to review schedules
- Contribute to continuous improvement initiatives by assessing content management processes and recommending enhancements for efficiency and effectiveness
- Provide general support to the proposals team in managing and retrieving content from the centralized repository to support active opportunities
- Perform other related duties as assigned
Qualifications
- Currently pursuing a bachelor’s degree in marketing, business writing, business strategy, international business, or a related field
- Strong project management skills with the ability to manage multiple priorities and deadlines
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office tools including Excel, Outlook, Teams, and SharePoint
- Interest in developing knowledge and practical experience with ethical AI usage and content tools
Additional Requirements
- Ability to work collaboratively in a team environment and communicate effectively with both in-office and remote team members
- Willingness to work in a hybrid environment, with in-office presence expected several days per week alongside the team
