Calian Antenna Solutions, située à Vaudreuil-Dorion (QC), conçoit et fabrique une vaste gamme de systèmes d’antennes de grande précision destinés aux communications par satellite, à la radioastronomie, à la recherche scientifique et aux applications de défense.

Nous sommes actuellement à la recherche d’un(e) adjoint(e) administratif(ve) fiable et soucieux(se) du détail pour se joindre à notre équipe. Le candidat idéal sera un résident local capable de travailler efficacement dans un environnement de bureau dynamique et de fournir un solide soutien administratif à différents services.

Il s’agit d’un poste à temps plein, en présentiel, du lundi au vendredi pendant les heures normales de bureau. Le rôle exige une présence régulière au bureau et offre l’occasion de travailler étroitement avec la direction et de contribuer aux opérations quotidiennes.

Responsabilités

  • Fournir un soutien administratif général à la direction
  • Accueillir les visiteurs et gérer les appels entrants en dirigeant les demandes au bon interlocuteur
  • Organiser et maintenir les dossiers et les systèmes de classement
  • Coordonner les déplacements et contribuer à la gestion des horaires au besoin
  • Rédiger, réviser et mettre en forme des documents, de la correspondance et des rapports
  • Effectuer la saisie de données et diverses tâches de bureau
  • Soutenir des projets spéciaux et assurer le suivi des éléments d’action
  • Participer aux processus de comptes fournisseurs, incluant le suivi et la conciliation des factures
  • Appuyer les activités d’approvisionnement, notamment le traitement des commandes et la coordination avec les fournisseurs
  • Effectuer toute autre tâche connexe selon les besoins du poste

Qualifications

  • 1 à 2 ans d’expérience dans un rôle administratif ou similaire
  • Bilinguisme (français et anglais) à l’oral et à l’écrit
  • DEP en administration ou expérience équivalente
  • Maîtrise de la suite Microsoft Office et des logiciels de bureau
  • Excellentes aptitudes organisationnelles et de communication
  • Capacité à gérer plusieurs tâches et à établir efficacement les priorités
  • Sens du détail et aptitudes en résolution de problèmes
  • Capacité à travailler de façon autonome et en équipe
  • Attitude professionnelle et positive
  • Fiabilité et capacité d’adaptation dans un environnement de travail dynamique

Exigences supplémentaires

  • Être admissible à une habilitation de sécurité du gouvernement du Canada
  • Être en mesure de travailler en présentiel à Vaudreuil-Dorion, Québec
  • L’anglais est requis pour assurer une communication efficace avec les clients, fournisseurs et équipes internes à l’international. Ce rôle implique des interactions régulières avec les services qualité de clients internationaux, tandis que le français est considéré comme un atout pour favoriser la collaboration locale et renforcer la communication avec les partenaires francophones.

Position Overview

Calian Antenna Solutions, located in Vaudreuil-Dorion, QC, designs and manufactures a wide range of large precision antenna systems for satellite communications, radio astronomy, science and defense applications.

We are currently seeking a detail-oriented and reliable Administrative Assistant to join our team. The ideal candidate will be a local resident who can work effectively in a fast-paced office environment and provide strong administrative support across departments.

This is a full-time, on-site position, working Monday to Friday during standard business hours. The role requires regular in-office presence and offers the opportunity to work closely with management and contribute to daily operations.

Responsibilities

  • Provide general administrative support to management
  • Greet visitors and manage incoming calls, directing inquiries appropriately
  • Organize and maintain records and filing systems
  • Coordinate travel arrangements and assist with scheduling as required
  • Prepare, edit and format documents, correspondence, and reports
  • Perform data entry and general office tasks
  • Support special projects and follow up on action items
  • Assist with accounts payable processes, including invoice tracking and reconciliation
  • Support purchasing activities, including order processing and vendor coordination
  • Other duties as required within the context of the role.

Qualifications

  • 1-2 years experience in an Administrative or similar role
  • Fluently in French and English, both spoken and written
  • DEP in Administration or equivalent work experience
  • Proficiency with Microsoft Office Suite and office software
  • Strong organizational and communication skills
  • Ability to multitask and manage priorities effectively
  • Attention to detail and problem-solving abilities
  • Ability to work independently and as part of a team
  • Professional and positive attitude
  • Reliable and adaptable in a dynamic work environment

Additional Requirements

  • Must be eligible for Government fo Canada Secuirty Clearence
  • Must be able to work onsite in Vaudreuil-Dorion, Quebec
  • English is required for effective communication with clients, suppliers, and internal teams internationally. This role requires regular interaction with international customer quality departments, while French is considered an asset to support local collaboration and strengthen communication with francophone partners.

Compensation

$45,000-$55,000 per annum
