Position Overview

We are looking for an experienced and highly organized Document Coordinator to support document management activities across engineering projects and proposals. This role plays a critical part in ensuring the accuracy, consistency, and timely delivery of technical documentation while supporting a large engineering team and maintaining operational continuity.

The successful candidate will work closely with a senior team member and must be able to independently manage document workflows, handle fluctuating workloads, and maintain high-quality standards in a fast-paced, deadline-driven environment.

Responsibilities

•Edit, format, and proofread technical documents to meet internal standards and client requirements

•Coordinate document workflows across multiple projects, ensuring deadlines and quality expectations are met

•Maintain accurate records within the document management system and ensure proper filing and version control

•Distribute documents electronically to clients and maintain associated data management records

•Support proposal-related documentation and provide coverage for senior team member when required

•Serve as the primary point of contact for document-related activities across assigned projects

•Prepare and maintain operational reports, including timesheets and utilization tracking

•Provide general support for data centre and library functions, including printing, scanning, and maintaining resources

Qualifications

•Bachelor’s degree in Arts, Communications, Journalism, or a related field, or equivalent experience

•Minimum of four to five years of relevant experience in document coordination, editing, or a similar function

•Advanced proficiency in Microsoft Word and strong experience with document formatting and editing tools

•Strong organizational, time management, and multitasking skills with the ability to manage competing priorities

•Exceptional attention to detail with a strong focus on accuracy and quality

•Experience working in a technical or engineering environment is preferred

•Strong communication skills with the ability to collaborate effectively with internal and external stakeholders

•Ability to work independently, demonstrate initiative, and adapt to changing priorities

Additional Requirements

•Must be comfortable working in a hybrid environment with a requirement to be in the office four days per week

•Ability to manage fluctuating workloads and meet tight deadlines

•Must be eligible to obtain Top Secret security clearance due to the nature of the work

•Experience with proposal support and familiarity with AI tools is considered an asset

•Ability to maintain confidentiality and exercise sound judgment when handling sensitive information

Compensation

$50,000 to $70,000
